We have an exciting opportunity to join our team as an Administrative Assistant supporting our Executive Operations Team.

The Administrative Assistant will provide administrative support to multiple Executives.  The Administrative Assistant will be responsible for a wide ranging, diverse group of tasks. As a key member of the Operations team, the Administrative Assistant will be responsible for the Monthly Operational Review (MOR) process. Additionally, the Administrative Assistant will schedule & coordinate site visits, make travel arrangements, manage calendars, process expense reports and other various administrative tasks to support the Operations Leadership team and their staff.

Primary Responsibilities

  • Builds successful relationships with Divisional Executive Assistants and Divisional Executives across Ardent’s network of hospitals.
  • Leads efforts to collect and compile reporting data for Monthly Operation Review (MOR) process.
  • Identifies and overcomes impediments to MOR’s reporting requirements.
  • Timely distributes Monthly Operations Reviews (MOR’s) to all necessary parties.
  • Manages, prepares and distributes executive correspondence.
  • Prepares, revises and reviews documents including, but not limited to, operational reports, presentations, reference material, policies and procedures and contracts (Power Point presentations, Word documents, Excel Spreadsheets, etc.).
  • Maintains daily calendar and schedule for designated corporate staff members via Microsoft Outlook.
  • Upholds the utmost level of confidentiality and provides priority updates and alerts to executive team.
  • Coordinates activities relating to on-site and off-site meetings and conferences including hotel and travel arrangements, itineraries, preparation of support materials, meal planning and related tasks.
  • Coordinates travel arrangements for members of department.
  • Processes and submits travel expense reports for the entire department for timely reimbursement
  • Provides administrative support to the Sr. Leaders of the Operations department.
  • Provides support to departments when needed to cover for absences, heavy workload, etc.
  • Maintains an accurate and efficient filing system.
  • Monitors supplies, special orders, etc. for designated work group.
  • Performs other duties as assigned.



  • 2 years of experience as an office assistant, administrative assistant or in a related administrative capacity in a professional office setting.


  • High School Diploma required.
  • Associate Degree preferred.

Additional Requirements: 

  • Experience in a fast paced, corporate office setting is preferred.
  • Must have excellent knowledge of Microsoft Office, including Microsoft Word, PowerPoint, Outlook and Excel.
  • Must be able to type 65 wpm.
