We are continuing to grow and have an exciting opportunity to join our Health Information Management team as a Data and Information Governance Director.

The Data and Information Governance Director will support the development, implementation, operation and maintenance of the Records and Document Classification and Retention Programs throughout Ardent Health Services. In addition, this position performs research to understand the requirements of regulatory entities relevant to forms and documentation strategies related to the EMR and ensures that internal controls, policies, procedures and daily practices are in line with the standards set by regulatory entities.

Primary Duties and Responsibilities 

  • Maintain the document lifecycle (author, approve, publish, revise, retire, archive)
  • Provide training on documentation and record retention policies, records destruction, disaster recovery, procedures and instructions to site personnel
  • Catalog and maintain electronic document templates
  • Identify and provide naming convention for scanned documents; collaborate with department directors to update procedures, and create documents as required
  • Maintain the master electronic and paper files
  • Prepare records for inactive storage according to the Records Retention Schedule
  • Manage document processes and systems to ensure control and availability of documentation to site personnel
  • Responsible for procedure reviews and facilitation of updates with process owners
  • Review new and revised documentation for sustainability and conformance to regulatory standards, including record retention
  • Perform and/or support regular audits of document control processes and procedures
  • Understand business proprietary, sensitive, and privileged information and assist with developing proper procedures for identification and management consistent with the Program
  • Serve as a liaison with AHS privacy and security functions to help enhance data protection
  • Maintain the policies and procedures and monitor the activities related to the Information Governance program
  • Establish and maintain ongoing benchmarking to update company requirements
  • Participate in ongoing review and assessments of the company
  • Serve as primary liaison with the forms vendors
  • Serve as the key contact to guide collaborative teams in developing and implementing procedures and best practices in connection with Data and Information Governance
  • Advance AHS’s goals of reduced risk, increased business efficiency, and reduced costs through efficient governance of records and information
  • Maintains Data and Information Governance Policies and Procedures; updates and create new Policies and Procedures as needed
  • Coordinate assessments, facilitate and document risk-focused communication
  • Conduct Data and Integrity Governance Committee and process new form requests
  • Ensures smooth operation of the department and provides input into the business plan
  • Controls and monitors the flow of work, assigns projects/tasks to Forms team members, prioritizes work to meet timelines and business needs
  • Manages SLAs in place with the Forms Team (Print vendor, Clients)
  • Acts as Forms Team vendor relationship manager with preferred form vendors with a focus on continuous improvement and escalation/resolution of issues and identification of root cause
  • Proactively investigates and supports strategic and technology based forms solutions
  • Provides support to projects and initiatives
  • Advises on appropriate forms medium or vehicle
  • Advises on the impact the initiatives will have on existing forms
  • Maintains a comprehensive knowledge of current and future directions of methodologies and technologies through research, vendor contact and product evaluations.
  • Builds and maintains strong working relationships with Business partners and the vendor community.
  • Ensures standards are in place and reviewed/maintained on an ongoing basis
  • Assesses and recommends equipment for special requirements and on-going needs

Qualifications

Education
:

  • Bachelor’s degree in Health Information Management or healthcare related field

Experience:

  • Previous experience documenting records information processes and procedures preferred
  • Previous experience documenting hospital Policies and Procedures

Knowledge:

  • Computer proficiency in a Windows environment, including MS Office Suite
  • Knowledge of electronic record and electronic signature requirements
Additional Requirements:
  • Ability and willingness to travel 50-75% of the time
  • Ability to work remotely
