We have an exciting opportunity to join our HR team as a Talent Acquisition Coordinator.

Primary Duties & Responsibilities

The Talent Acquisition Coordinator will support our Talent Acquisition Department and perform duties in the following areas:

Administrative - Onboarding

  • Handle all new hire offer (hard copy & electronically)
  • Send welcome emails to new hires and communicate onboarding process to managers
  • Coordinate drug screen and background check and ensure results are in submitted prior to “active” status is entered in Lawson
  • Oversee receptionist duties to submit background check process
  • Ensure all new hire paperwork is returned and complete. Create employee file.
  • Create personnel action forms and obtain approvals.  Submit to HRIS for entry into Lawson
  • Communicate with department admin to Provision and coordinate space
  • Submit I9 and eVerify on employee’s first day
  • Obtain file if employee is a transfer
  • Email weekly New hire update to Desktop Support
  • Schedule executive interviews at the corporate office
  • Schedule executive orientations

Administrative Support

Support TA leadership:

  • with all aspects of calendar management & meeting support
  • with scheduling / organizing meetings or events
  • with inbound phone calls
  • with hard copy information organization (materials and other working collateral)

Administrative - Other

  • Ability to run routine and ad hoc ATS reports
  • Work closely with Talent Acquisition (TA) leadership to help shape staffing performance critical indicators for the corporate office and across the Ardent enterprise
  • Ability to consult on data, assert ideas, and use discretionary effort to further explore data results with TA leadership
  • Oversee all candidate interview scheduling as assigned – using Receptionist as appropriate and coordinating with other department Administrative Assistants
  • Organize and schedule corporate based Executive Orientations
  • Create and obtain approvals for new hires, terminations, and one time payments; submit to HRIS.
  • Develop and send communications to employees including any additional paperwork needed.
  • Coordination of file transfers
  • Creation of recruiting authorization forms and obtain approvals
  • Maintain Employee Files
  • Code and submit TA department invoices
  • Maintain corporate org charts
  • Point of contact with temp agency to fill temporary admin needs

Qualifications

Education:

  • Bachelor’s Degree in Human Resources or Business related field

Experience:

  • 2+ years of human resources experience in a corporate setting preferred
  • Systems experience in a business application preferred
  • Experience supporting talent acquisition and onboarding new employees preferred
  • Experience with the Microsoft Suite of products including Excel and PowerPoint required
