We have an exciting opportunity to join our team as an Executive Administrative Assistant.

The Executive Administrative Assistant is a key role for our organization providing administrative assistance and support to our company executives.

Primary Duties and Responsibilities:

  • Provides administrative support for multiple executives.
  • Coordinates activities relating to meetings and conferences including hotel and travel arrangements, preparation of support materials, meal planning and related tasks.
  • Prepares and distributes correspondence.
  • Prepares, revises and reviews legal contracts and other documents including, but not limited to, contracts, corporate filings, PowerPoint presentations, etc.
  • Maintains an accurate and efficient filing system.
  • Maintains daily calendar and schedule for designated corporate staff members via Outlook.
  • Screens calls and visitors.
  • Provides support to other departments when needed to cover for absences, heavy workloads, etc.
  • Prepares reports, spreadsheets and related material as requested.
  • Monitors supplies, special orders, etc. for designated work group.
  • Performs other duties as assigned.

Qualifications:

  • 4+ years of experience as an administrative assistant with a preference towards executive support
  • Associates Degree or High School diploma
  • Experience with Microsoft Office including Excel, Outlook and PowerPoint
  • Skilled in organizing and prioritizing workloads to meet deadlines.
  • Skilled in telephone etiquette.
  • Effective oral and written communication skills.
  • Ability to interpret, adapt and apply guidelines and procedures.
  • Ability to use good judgment regarding administrative issues.
  • Ability to communicate effectively with managers and co-workers.
  • Ability to use good judgment and to maintain confidentiality of information.
  • Ability to work as a team player.
